Accessing Your Results

Results Panel

After processing completes, your files appear in the Results Panel on the right side of the OCR Tools page:

File Information:

  • Format Icon: Visual indicator of output format
  • File Name: Original name with new extension
  • File Size: Size of processed file
  • New Badge: Indicates unviewed files
  • Creation Date: When processing completed
  • Action Buttons: Download and delete options

Dashboard Access

All your processed files are also available from the main dashboard:

  1. Navigate to "All Projects" in the sidebar
  2. View recent processing activity
  3. Access files from any device
  4. Search and filter by date or format

Download Methods

Instant Download

Single File Download:

  1. Click the "Download" button next to any result
  2. File opens automatically in a new browser tab
  3. Use browser's save function if needed
  4. File marked as "viewed" after first download

Automatic Opening:

  • PDF files: Open in browser PDF viewer
  • HTML files: Display as web pages
  • DOCX files: Prompt to open in Word or download
  • EPUB files: Download to device

Secure Download Links

How It Works:

  • Each download generates a unique, secure URL
  • Links expire after 1 hour for security
  • New links generated for each download request
  • No direct file URLs exposed

Security Features:

  • Encrypted file transfer (HTTPS)
  • User authentication required
  • Time-limited access
  • No unauthorized sharing possible

File Management

Organizing Downloads

Browser Downloads: Most files save to your default download folder:

  • Windows: C:\Users\[Username]\Downloads\
  • Mac: /Users/[Username]/Downloads/
  • Linux: /home/[username]/Downloads/

Recommended Organization:

File Retention

Storage Duration:

  • Files stored for 30 days after processing
  • Automatic deletion after expiration
  • Email notification 7 days before deletion
  • No recovery possible after deletion

Download Timeline:

Day 0:  Processing complete, file available
Day 23: First reminder email sent
Day 28: Final reminder email sent  
Day 30: File automatically deleted
 

Batch Downloads

Multiple File Access

Sequential Downloads:

  1. Click download for each file individually
  2. Files open in separate browser tabs
  3. Save each file as needed
  4. Organize locally after download

Browser Batch Handling:

  • Modern browsers handle multiple downloads
  • May prompt for download location
  • Check browser's download manager
  • Some browsers limit concurrent downloads

Archive Options

For Large Batches: Consider using browser extensions or tools that can:

  • Save all open tabs as files
  • Batch download from multiple URLs
  • Organize downloads automatically

Manual Organization:

  • Create folders by processing date
  • Group by document type or project
  • Maintain consistent naming conventions

File Formats & Compatibility

Opening Downloaded Files

HTML Files:

  • Default: Open in web browser
  • Editing: Use text editor or HTML editor
  • Publishing: Upload directly to websites
  • Viewing: Any web browser

PDF Files:

  • Default: Browser PDF viewer
  • Desktop: Adobe Reader, Preview (Mac)
  • Mobile: Built-in PDF viewers
  • Editing: Adobe Acrobat, PDF editors

EPUB Files:

  • E-Readers: Kindle (convert first), Kobo, Nook
  • Desktop: Adobe Digital Editions, Calibre
  • Mobile: Apple Books, Google Play Books
  • Browser: Some online EPUB readers

DOCX Files:

  • Microsoft Office: Word 2010 or later

Troubleshooting Downloads

Common Issues

"Download Failed"

  • Check internet connection stability
  • Try downloading again (new secure link generated)
  • Clear browser cache and cookies
  • Disable browser extensions temporarily

"File Won't Open"

  • Verify you have appropriate software installed
  • Check file wasn't corrupted during download
  • Try opening in different application
  • Re-download the file

"Link Expired"

  • Download links expire after 1 hour
  • Click download button again for new link
  • Links regenerate automatically
  • No limit on regeneration

"File Not Found"

  • Check if file has expired (30-day limit)
  • Verify you're logged into correct account
  • File may have been deleted manually
  • Contact support if file should still exist

Browser-Specific Issues

Chrome:

  • Check download settings and permissions
  • Verify popup blocker isn't interfering
  • Clear Chrome's download history if needed

Firefox:

  • Check download folder permissions
  • Verify file type associations
  • Clear Firefox cache if problems persist

Safari:

  • Check Safari's download preferences
  • Verify file quarantine settings on Mac
  • Clear Safari cache and cookies

Edge:

  • Check SmartScreen filter settings
  • Verify download location permissions
  • Clear Edge browsing data if needed
